Wia Technologies Limited (“Wia”, “we”, “us”) builds energy intelligence software for building portfolios. This notice explains how we handle personal data when you visit wia.io, request a demo, or use the Wia platform as an authorised user of a customer or partner.
Wia is the data controller for personal data we collect about website visitors, prospects, business contacts, and partner / customer staff. Where we process personal data on behalf of a customer inside the Wia platform (for example, building operator login details), we act as the data processor and the customer is the controller. The terms of that processing are set out in the Data Processing Agreement attached to the customer’s contract.
1. What we collect
We collect the following categories of personal data:
- Identity and contact - name, work email, job title, organisation, country, phone number when you provide it (for example via a demo form, sales call or partner enquiry).
- Account data - for users of the Wia platform: user ID, role, organisation, login timestamps, user-generated content (alerts you create, tasks you assign, notes you write).
- Technical data - IP address, browser type, operating system, referring URL, pages visited, session duration. Collected via PostHog and equivalent analytics tools.
- Communications - the content of emails, calls and messages you send us; meeting notes from discovery and sales conversations.
- Marketing preferences - your subscription state and any preferences you set for the kinds of communications you want to receive.
We do not collect special-category personal data (racial or ethnic origin, religious beliefs, health data, biometrics, etc.) through this website.
2. How we use it
We use personal data for the following purposes:
- To respond to your enquiries, run sales and partnership conversations, schedule demos, and manage the commercial relationship.
- To deliver the Wia platform to authorised users and to support, secure and improve the service.
- To send you product updates, occasional newsletters, research and event invitations where you have opted in or where we have a legitimate interest in keeping you informed as a business contact.
- To analyse how the website is used, debug it, and improve content and navigation.
- To meet our legal, regulatory, accounting and tax obligations.
3. Legal bases
Under the EU and UK GDPR, we process personal data on the following legal bases:
- Contract - to provide the Wia platform to customers and to take steps prior to entering a contract (e.g. responding to a demo request).
- Legitimate interest - to run our business, market to business contacts in a proportionate way, secure our systems, and analyse aggregate website use.
- Consent - for non-essential cookies and for marketing email to individuals who are not existing customers or pre-existing business contacts.
- Legal obligation - for tax, accounting, statutory reporting and lawful requests from authorities.
4. Sharing
We do not sell personal data. We share personal data only with:
- Service providers who process data on our behalf under contract - for example our cloud hosting provider, CRM, email infrastructure, analytics platform, and customer support tools. Each provider is selected for security posture and bound by a data processing agreement.
- Customers and partners - only the personal data necessary to operate the contracted relationship (e.g. a partner sees the contacts they are introducing).
- Authorities - where we are legally required to disclose, and where we can, after giving you notice.
- In the event of a corporate transaction - for example an acquisition or financing - under appropriate confidentiality and data-protection safeguards.
5. International transfers
Wia is headquartered in Ireland. Personal data we collect about EU and UK individuals is stored and processed in the EU by default. Where a service provider processes data outside the EU or UK we rely on Standard Contractual Clauses and additional safeguards (encryption in transit and at rest, access controls, contractually limited purposes). For customers with specific data-residency requirements, we operate region-specific deployment options that keep customer data inside the region the customer chooses.
6. Retention
We retain personal data only as long as we need it:
- Prospect and demo enquiries - up to 24 months from last interaction, then deleted or anonymised.
- Customer account data - for the duration of the contract plus the retention period set out in the contract (typically 30–90 days post-termination for export, then deletion).
- Statutory records (invoices, contracts) - for the period required by Irish and UK tax and company law (typically 6 years).
- Marketing-list data - until you unsubscribe, after which we retain a record of the unsubscribe so we do not re-contact you.
7. Your rights
Under EU and UK GDPR you have the right to:
- Access the personal data we hold about you.
- Correct or update it if it is wrong or incomplete.
- Request deletion, subject to our legal retention obligations.
- Restrict or object to certain processing.
- Receive your data in a portable format.
- Withdraw consent at any time, where consent applies.
- Lodge a complaint with your data-protection authority. In Ireland this is the Data Protection Commission; in the UK, the Information Commissioner’s Office.
To exercise any of these rights, email privacy@wia.io with enough detail to identify you and the request.
8. Security
We take security seriously. Wia operates with encryption in transit (TLS 1.2+) and at rest, role-based access controls, hardware-rooted identity on field devices, least-privilege access for staff, and regular vulnerability scanning and penetration testing. Information-security incidents are triaged and disclosed in line with applicable law. To report a vulnerability, write to security@wia.io.
